The Calendar module is the place to store your appointments, meetings, bookings and jobs. It is a "shared" calendar - this means that all your users can view and see what is in the calendar. The calendar can be used in many different ways depending on your needs, for example:
- record your meetings, appointments, bookings
- allocate/assign an appointment to other users
- relate the appointment to an existing Client or Contact in Blink or even an Enquiry
The Calendar module is accessed through the top menu bar using the Calendar button.
There are two main options in the menu:
View Calendar
This opens the calendar in a new tab for you to view, a few things to note:
- it defaults to a week view, you can change it to day or month by clicking on those options in the top bar
- you can advance through the days/weeks/months by clicking on the yellow arrows in the top bar
- you can jump to a specific day by using the date selector in the top right of the calendar
- you enter a new appointment by clicking on the calendar
- you open an existing appointment by clicking on it
- you can drag and drop an appointment to new time/day
- you can change the start/end time of an appointment by dragging the appointment box
Search Calendar
This shows all your appointments in a list format and allows you to search through your appointments and open, edit and view them.
When you click Search Calendar the search form will open in a new tab. This option has a search panel on the top part of the screen and the search results on the bottom half of the screen. This will automatically default to today's next 10 appointments that are due. You can search and filter appointments that show in the results list by typing in the search box/es and clicking Search. This will shrink the results list to just appointments that contain your search strings. To view full details of an appointment you can either double click the appointment or right click and select View from the options. The full appointments record will open in a new tab.
An appointment has the following items you can set:
Start time: this is the start date and time of the appointment
End Time: this is the end date and time of the appointment
Subject: the Subject of the meeting, note this text will appear on the Calendar
Description: a more detailed description of the appointment
All Day Event: tick this if the event runs all day, the effect is that the appointment is showing in the top of the calendar
Priority: set the prioirty of the appointment
Related Contact: if the appointment is related to a Contact in Blink you can select them here. By doing this the appointment will show in the Contact record under the Appointments tab.
Related Enquiry: if the appointment is related to an Enquiry in Blink you can select them here. By doing this the appointment will show in the Enquiry record under the Appointments tab.
Related Client: if the appointment is related to a Client in Blink you can select them here. By doing this the appointment will show in the Client record under the Appointments tab.
Users: if you have multiple users in Blink you can select who this appointment is assigned to (or is attending)
