The Contacts Module is the place to store contact details and notes on the people you do business with. If you meet someone who gives you a business card you can store their details in the Contacts Module. The benefits of doing this are:
- you have a single place that you, and your other Blink users, can store contacts
- you can quickly search and find a contact
- you can store unlimited notes and attach to your contact
- you can "archive" important email conversations against that contact
- you can view all the appointments you have had with that contact
- you can build a history of the contact that will be useful for your future business
The Contacts Module is accessed by clicking the menus People > Contacts on the top menu bar.
There are two main options in the menu:
New Contact allows you to create a new contact and save them in your Blink account.
Search Contacts allows you to search through your existing contacts and open, edit and view them. There is a search panel on the top. You can search your contacts by any available fields and then clicking the Search button. This will shrink the list of contacts underneath. To view a contact's full details you can click the row. The full contact record will open in a new tab.
The contact screen consists of the following tabs:
Contact Details tab shows all the main contact information such as name, phone numbers, email addresses and comments. If you click on Properties at the bottom of the form you can see who created this contact, when it was created, plus it also shows who last modified this contact (i.e. edited it) and when.
Address tab shows the street and mailing address of the contact.
Appointments tab shows appointments in the calendar that relate to this contact. You can open an appointment by double clicking on the appointment or right clicking on it and selecting View from the menu that appears. Note: you enter appointments by clicking on the calendar.
Notes tab shows notes that are related to this contact. This is a good place to store "file notes" or "contact notes" relating to this contact. For example, if you have a business meeting or a phone discussion you may wish to store a short note about the discussion, this can serve as a reminder for future meetings. To add a note to a contact click on theCreate Note button on the top of the contact form.
Emails tab shows any emails that you have archived against this contact. To learn more about how to archive emails read the article How to: Archive Emails to Blink
